Subscription Instalments

SUBSCRIPTION INSTALMENT ARRANGEMENTS
Members who have nominated to pay their subscriptions by instalments are reminded to check that they have sufficient funds available in their nominated account on the 1st of the month.
The Board has specified that members may pay their subscriptions by instalments, under the condition that they are due and payable on the 1st of the month. Members who have completed an instalment arrangements form with the Club have requested to have their subscriptions instalments deducted by the Club from their nominated account on the due date.
Club Constitution clause 16.3.1: The Board determines that the subscriptions shall be payable by instalments each of such amount and payable at such time as the Board may specify.
Club Regulations clause 53: Members on installments for their annual subscriptions are required to have funds available in their nominated account on the dates set out within their installment forms. If adequate funds are not available on the prescribed date, then the member will be deemed un-financial and access to the members’ section of the website may be blocked until payment is made.
Therefore members who have their credit or debit instalment declined on the 1st of the month will be deemed un-financial on the 2nd of the month and access to the members’ section of the website will be blocked until payment is made.
CHANGES TO INSTALMENT PLANS
Members are reminded that changes to existing instalment plans or requests for new instalment plans are required to be received no later than 31 May each year. Requests for new instalment plans or changes to existing instalment plans cannot be processed after this date.
In June this year our Membership Secretary received 30 requests from members either cancelling or creating new subscription instalment plans. This delayed the Club’s ability to finalise all direct debits on time this year and member direct debit payments were processed late.
A reminder to all members who have elected to pay their subscriptions by instalments that from 1 July 2022 the $150 administration fee has been reinstated.
The 1.5% credit card fee has also been reinstated for subscription and house account payments made by credit card. Members may choose to pay their house account on-line by bank transfer without a credit card fee being applicable.
CATEGORY TRANSFER REQUESTS
I would like to clarify some details regarding member requests for membership category transfers. This information does not apply to requests for medical transfers which can be made at any time under clause 11.3 of the Club Constitution.
Members may request a membership category transfer by writing to the General Manager at gm@yarrayarra.com.au. These requests are required to be submitted prior to 1 May or 30 November each year in accordance with the Club’s Constitution and Regulations.
These cut off dates have been determined to assist the Club in planning and making decisions for the financial year ahead, including important matters such as; the impact of membership category numbers on the available tee times, category quotas, intake of new members, and determining membership subscription revenue for the annual budget.
For these reasons, from 30 November 2022 the Club intends to adhere to clause 11.3 of the Club Constitution and clause 54 of the Club Regulations. If a member requests a membership category transfer after the deadlines of 30 November or 1 May each year, these requests will go to the Board for special approval at the regular monthly Board meeting. However, the Board is unlikely to consider such late requests unless there are extenuating circumstances. This will mean that the member will not be eligible to move into another membership category until the following period.
Club Constitution clause 11.3: Applications for transfer must be made in writing and will be considered every six months unless the transfer is for medical reasons.
Club Regulations clause 54: Requests to change a category of membership must be made in writing to the General Manager and submitted prior to 30 November and 1 May each year.
The Board has the discretion to consider late requests for membership category transfers and has historically exercised this discretion in favour of the individual member. Unfortunately, this year over 25 members requested late membership category transfers in May and June. This impacted the budget for the year ahead and generated undue pressure on the Membership Secretary during her busiest period of subscription renewals.
We appreciate that there may be unforeseen circumstances that arise after the cut-off dates and therefore encourage members to contact the General Manager in person to discuss such circumstances.
